Fees, Payments & Cancellations
At Balanced Perceptions Therapy & Consulting (BPTC), we aim to keep all information about session costs, payments, and attendance expectations clear and transparent. The following outlines our current fees, payment processes, and cancellation conditions for both in-person and telehealth sessions.

Business Hours
Our standard clinic hours are 10am to 4pm, Monday to Friday.
Sessions scheduled wholly within these times are billed at the standard rate.
Fee: $185 per 50-minute session.

Out of Hours
Any session that occurs before 10am, after 4pm, or partially overlaps outside standard clinic hours is billed at the Out of Hours rate.
Fee: $215 per 50-minute session.

Weekends
Saturday sessions are available from 8am to 1pm.
Fee: $245 per 50-minute session.
Sunday sessions may be available upon request.
Session Length & Modes

Standard sessions are 50 minutes for individuals, couples, and families unless otherwise recommended.
Half (≈ 25 min), extended (≈ 75 min / 1.5 session), and double (≈ 100 min +) sessions may be arranged when clinically appropriate or by prior agreement.
Fees for extended or double sessions are calculated on a strict pro-rata basis from the standard session rate.
Half sessions incur a slightly higher per-minute rate ($100) to account for preparation and documentation time.
Appointments are offered in-person or via telehealth (video or phone).

Sessions that begin or extend into out-of-hours, Saturday, or public-holiday periods are charged at the applicable rate.
All fees are GST-free health services unless otherwise noted.

Additional Fees

Payment Processing
All card and BPAY payments processed through our clinic software incur a pass-through processing fee charged by the payment gateway.
The amount varies by method and is displayed before confirmation.
Fee-free alternatives such as direct deposit or cash (by prior arrangement) are available.

Administrative Tasks
$198 per hour (billed in 30-minute increments) applies to professional or administrative work performed outside standard sessions, including:

liaison with case workers, solicitors, or schools

advocacy or coordination tasks

Comprehensive reports, case-note summaries, and court-related services have separate professional fee structures.

To secure and confirm any appointment — whether scheduled days or months in advance — full payment is required at the time of booking.
Payment is processed securely through our clinic’s online booking and billing system (card), BPAY, or direct deposit (BSB 923100 / ACC 307370984).
Sessions are confirmed only once payment has been received.

Cash Payments
Cash payments are accepted in person by prior arrangement only.
Appointments are confirmed once cash payment has been received.

Why Payment Is Taken at the Time of Booking
​
Paying for your session at the time of booking helps keep our schedule fair, reliable, and available for all clients.
When appointments are reserved but not attended, that time is lost — not only for your therapist, but also for another client who may have urgently needed that slot.
Prepayment also supports accountability within the therapeutic process.
It encourages you to prioritise your own well-being and to honour the time set aside for your personal work — even when the process feels challenging or confronting.
This policy ensures mutual respect for everyone’s time and helps keep therapy accessible and consistent for the whole community.

Cancellation & Reschedule Policy

Appointments cancelled with more than 48 hours’ notice are refunded in full (less a $5 processing fee).

Cancellations with less than 48 hours’ notice or missed sessions are charged in full.

Genuine emergencies are considered individually at BPTC’s discretion.

Cancellations must be made in writing via text (0456 710 251) or email (info@balancedperceptions.com.au). Voicemail or verbal cancellations cannot be accepted.

Late Arrival: If you arrive late, your session will still finish at the scheduled time and the full fee applies.
​
Failed or Late Payments: If a payment fails or remains overdue, BPTC may charge the stored card for the outstanding balance and pause future bookings until resolved.

Fairness Statement: We understand that life can be unpredictable. These policies exist not to penalise, but to maintain fairness and consistency for all clients and to respect the time reserved for each individual.

Medicare Rebates & Private Health Insurance

BPTC supports eligible rebates to improve access to care. Clients track their own session usage and submit claims; updates are available on request.

Mental Health Treatment Plan (MHTP): Up to 10 rebated sessions per calendar year for eligible diagnosed conditions (e.g. depression, anxiety). Requires GP referral and review. Full fee is paid upfront; the rebate is then claimed by you (a gap applies).

Chronic Condition Management Plan (CCMP): Up to 5 rebated sessions per calendar year for eligible chronic conditions (GP-determined; separate to MHTP).

Private Health Insurance (Extras): You may be able to claim with your insurer (e.g. Bupa, HCF). Pay full fee and submit your invoice to your insurer.

Court-related services, comprehensive assessments, and report writing do not attract Medicare rebates and are billed under separate fee structures.
