Fees, Payments & Cancellations – Balanced Perceptions Therapy & Consulting (BPTC)
At Balanced Perceptions Therapy & Consulting (BPTC), we aim to keep all information about session costs, payments, and attendance expectations clear and transparent.
The following outlines our current fees, payment processes, and cancellation conditions.
Session Length & Modes
Sessions are 50 minutes for individuals, couples, and families unless otherwise recommended.
Appointments are offered in-person and via Google Meet.
Session Fees

Business Hours: $185 per session (Mon–Fri, 10:00 AM – 4:00 PM)

Out of Hours: $215 per session (appointments starting before 10:00 AM, after 4:00 PM, or evenings)

Weekends: $245 per session (Saturdays)
Sessions starting or extending into out-of-hours periods are charged at the applicable rate.
BPTC is not a walk-in clinic — bookings are essential.
Fees are GST-free health services unless otherwise noted.
Additional Fees

Payment Processing: Card transactions are charged at the pass-through processing cost (ask us about fee-free alternatives such as cash or direct deposit).

Administrative Tasks: $198 per hour (billed in 30-minute increments) for tasks outside standard sessions (e.g., progress letters, document reviews, liaising with third parties).
Comprehensive reports, case-note summaries, and court-related services have separate fee structures — see our Services page.
Payment Policy
To secure your appointment, full payment is required at the time of booking.
Accepted methods: Cash, direct deposit (OSKO only: BSB 923100 / ACC 307370984), BPAY, or credit/debit card via our clinic management software.
A valid card on file is required for all clients (securely stored and charged only per this policy or if alternatives fail).
Late Arrival: If you arrive late, your session will still finish at the scheduled time and the full fee applies.
Price Changes: Fees and policies may be updated periodically; the current version on our website applies at the time of booking.
Failed or Late Payments: If a payment fails or remains overdue, BPTC may charge the card on file for the outstanding balance and pause future bookings until resolved.

Booking & Payment
All appointments must be paid in full at the time of booking. -
Cancellation

Less than 48 hours’ notice or no-show: 100% of the session fee is charged.
(Medicare does not provide rebates for missed or late-cancelled appointments.) -
Cancellations must be in writing via text (0456 710 251) or email (info@balancedperceptions.com.au).
Verbal or voicemail notices are not accepted. -
Emergencies are considered case-by-case at BPTC’s discretion.

Reschedule

More than 48 hours’ notice: You may reschedule without additional fees, subject to availability.

Less than 48 hours’ notice: Treated as a cancellation (100% fee) unless we can move you to the same day or next day without impacting our schedule; in that case, no additional fee applies.

Refunds

More than 48 hours’ notice: Refund of the full amount less a $5.00 processing fee for administrative costs.

All other cases: Payments are non-refundable, except in exceptional circumstances at BPTC’s discretion.

Administrative Note — Credits at BPTC’s Discretion
In certain circumstances where a cancellation occurs with less than 48 hours’ notice, BPTC may, at its sole discretion, choose to hold the paid amount as a future credit rather than apply the standard late-cancellation charge.
Credits are non-transferable and non-refundable but may be applied toward a later session at any time, subject to current fee structures and BPTC’s ongoing availability.
BPTC reserves the right to withdraw or limit credits where policies, fees, or service conditions have materially changed.
Medicare Rebates & Private Health Insurance
Medicare Provider Number: 1631112A (appears on all invoices)
We support eligible rebates to improve access to care. Clients track their own session usage and submit claims; we can provide an update on request. No GP referral is required for non-rebated sessions.

Medicare Mental Health Treatment Plan (MHTP): Up to 10 rebated sessions per calendar year for eligible, diagnosed conditions (e.g., depression, anxiety). Requires GP referral and review as per Medicare rules. Pay full fee upfront; the rebate is processed to you (a gap applies). Renew annually.

Chronic Condition Management Plan (CCMP): Up to 5 rebated sessions per calendar year for eligible chronic conditions (GP-determined; separate to MHTP).

Private Health Insurance (Extras): You may be able to claim with your insurer (e.g., Bupa, HCF). Confirm coverage with your fund. Pay full fee and submit your invoice to your insurer. Waiting periods may apply.
Note: Court-related services, comprehensive assessments, and report writing usually do not attract Medicare rebates and are billed under separate fee structures.
